Courses


Courses represent individual e-learning packages that are either created within the system or uploaded to it. These courses can be made available to users individually or grouped into study paths.

On the Courses page, you will find an overview of all existing courses within the portal. The main section of the page displays a list of available courses and study paths, along with key information in individual columns. This information includes the product name, assigned code, rating, number of comments, and responsible persons.

To edit the details of individual items, use the Edit Product button in the Actions column of the courses table.

General

In addition to the information displayed in the product list, the General tab also includes details such as the product category, assigned tags, uploaded image, and product description.

The Expiration Date and Content Review Date fields allow you to set deadlines for notifying responsible users to review the course content and determine whether it is still up to date. The course description is then displayed in the Academy view.

For some courses, you may require stricter verification of completion. This can be achieved using the Verified/Signed Completion feature, where students must confirm their completion before finalizing the course. More detailed information about this feature can be found here.

E-commerce function

If you want to set a price for a product, meaning it must be purchased to be accessed for study, use the Is paid option. Enabling this option will unlock additional settings.

These settings allow you to specify the exact price of the product, set the duration of the purchased license, or mark the product as free. If the Free option is selected, the price field is disabled, and the product will display the text "Free" instead of a price.

Configuration

This tab contains additional course settings, including the option to mark the course as mandatory, award a certificate upon completion, and assign the course to students repeatedly.

Required course

When this option is selected, a field labeled "Course must be completed within" appears, allowing you to set a deadline (in days) for course completion. Once a value is entered, additional options become available to notify both the student and their supervisor about the course requirement or if the deadline has been missed.

Auto re-assign course

This option allows the course to be reassigned to students repeatedly. Unlike certificate renewal, this reassignment is not tied to a certificate but instead depends on the set time period.

Certificate configuration

This page allows you to assign a certificate to the course, which users will receive upon meeting the required conditions. These certificates are generated based on a predefined template that you select during the setup process.

Certificate Acquisition Methods

This setting determines the criteria users must meet to receive a certificate.

Completed

The simplest method is Completed, where the user only needs to finish the course to receive a certificate. This can be applied to any course, whether created in Studio or from third-party sources.

Test percentage

This method applies only to courses that include a test. It allows setting specific success thresholds for earning a certificate. Users must not only complete the course but also pass the test with a required score.

Since multiple certificates can be assigned to a single course (all using the same acquisition method), a certificate hierarchy can be created based on the user's test performance. The user will receive the highest-level certificate they qualify for.

Points

This method awards a certificate based on the points earned throughout the course. Upon completion, the system evaluates the total points to determine whether the user qualifies for a certificate and, if applicable, which level of certification they receive.

To use this method, the course must support point tracking and reporting. If multiple certificates are assigned, the user receives the one corresponding to their highest achieved score.

Validity

The validity setting determines whether a course certificate will expire after a certain period or remain valid indefinitely.

If the field is left empty, the certificate will have unlimited validity. Otherwise the certificate will be valid for the selected period, starting from the moment the user receives it.

When a validity period is set, additional options for notifications and course renewal become available.

Notifications are configured by specifying the number of days before and after the certificate's expiration when the user and, if applicable, their supervisor should be informed about its status.

Multiple days should be entered in the field using commas (",") without spaces between values. For example, to notify the user 10, 7, and 1 day before the certificate expires, enter "10,7,1" in the field.

Re-assign before the certificate expiration allows users to retake the course and seamlessly extend the validity of their certification. The specified period represents the number of days before expiration when the user's course completion status is reset, enabling them to obtain a new certificate.

Certificate holders

To see which users have earned a certificate for a given course, you can use this tab. It provides an overview of users with certificates, the specific certificate name (if multiple certificates are assigned to the course), and, if applicable, the start and end dates of its validity.

In addition to the option to delete individual records, the table header also includes options to export certificates.

The export does not generate a user list (this option is available in reporting) but instead creates a .zip file containing the selected certificate files for export.

Users

This tab provides a complete overview of all students enrolled in the course, displaying key information about their progress.

In addition to this overview, the table header contains action buttons for managing user-course connections.

Remove Course disconnects the user from the course, meaning they will no longer appear in the list, and their course completion status will be revoked. However, if the user has already earned a certificate, it will remain valid.

Change Subscription Duration allows you to modify the length of the course license assigned to the user. By default, this duration is unlimited unless manually adjusted, and this option enables you to change it afterward.

Re-assign Course resets the user's course progress. During this process, the user receives a notification about the course reassignment. This function works similarly to removing and then reassigning the course.

Send Email enables you to send a system message to the user, such as notifying them about updates to the course content.

Responsible users

The Responsible Users tab displays a list of all assigned responsible persons. Users can be added by selecting them from the menu and clicking Add, and they can be removed by selecting their name and clicking Remove Responsible User.

This function is primarily related to the manual evaluation of tests, where assigned users receive notifications when a new test is submitted and requires assessment.

Recommended products

The Recommended Products tab allows you to select and assign specific products as recommendations for a given course.

Recommended courses then appear in the My Courses section under a separate Recommended category.

Ratings

The Ratings tab provides an overview of all submitted ratings and their management. While ratings automatically contribute to the overall product score, individual comments must be manually published before they become visible in the course details for all students. Ratings can also be removed, which excludes them from the overall score, but they are not permanently deleted and can be restored if needed.

Comments

The Comments tab functions similarly to the Ratings tab but follows an inverse visibility rule. All new comments are published by default, and if you want to hide any, you must manually do so on this tab.
